Managing Duties within the Members' Portal

From the 2022 season, TSC has adopted new organisational software, Sailing Club Manager. This has many functions and includes a facility for managing TSC's Duties. This should make it easier for members to record some preferences, to note allocations and to arrange swaps or transfers of duties if necessary.

All duties are now managed though the Members' Portal (see top right on this website). If you are unsure how to log into the Members' Portal, please look at the advice under The Club on this website. Passwords will have been sent to you by email, but can be reissued if they have been lost. If entirely stuck, then email Richard at webmaster@topsham-sc.org.uk.

Once logged into the Members' Portal, Bar and Galley Duty preferences can be recorded at the foot of the My Profile section. These will be used when allocations are made and swaps suggested, but preferences cannot be guaranteed.

Duty Roster shows all duty allocations and provides the definitive record. To enable searching, it can be filtered in many ways.

My Duties simply lists your allocated duties. For these, you will also receive automatically generated notifications and reminders by email. Reminders are set for 21 days and 7 days before each duty event.

Duty Swaps is, predictably, where you can request and manage swaps between people who also have been allocated duties of the same type. [To provide further flexibility, provision for 'transfer' of a duty after personal agreement with a non-rostered member is also being developed by SCM.]

Bar Duties for routine opening in summer and winter are allocated bearing in mind member preferences, as expressed though My Profile on the Members' Portal. To enhance such duties, members may wish to invite along partners, family or friends (club rules permit up to two non-member visitors).

Race-related duties are centrally organised by Fleet Captains. Experienced members and race-active boats provide Start Boats, Race Officers and Safety Crew as required. For socialising after evening races, race-active members are allocated to teams to collaboratively fulfil bar and galley needs. Supplementary help may be requested from others as necessary.

We are using this system for only the second year in 2023 and have already made some adjustments. However, there are many ways to configure it and we will be learning as we go. Feedback, to Sam Gillchrest, David Hayler or Andrew Pollard, is welcome.
