Swapping or Transferring Duties
As a club entirely supported by volunteers, if is not possible for a member to carry out an allocated duty, it is his or her responsibility to arrange a swap or a transfer.
Using the Members' Portal, it is possible to swap allocations or to transfer a duty to another willing member. However, to do this, preferences or allocation tags must match.
To arrange a 'swap', first accept your duty and then simply click on 'Request a Swap'. The action will then move to a dedicated part of the Portal called Duty Swaps. There, you can explain why you need to swap and you will be presented with a list of members who have been allocated duties of the same type but at different times. You can review these, and pick out one or more of the options. When you then click 'Request Duty Swap', the system sends a swap invitation to those who you have selected. This will include your explanation of why you can't manage the original allocation. The system will send you their reply and manage messaging between your routine emails. If your first choice cannot manage the swap, you can try another.
A swap is best managed within the portal in this way, so that the outcome will automatically be recorded. However, towards the end of the season, the number of swap options is likely to become restricted so other strategies may need to be considered.
If you want to 'transfer' a duty - perhaps you ask a friend - the procedure is similar. First accept the duty, then request a swap and, at that point, you will also be offered 'Transfer'. Click that, and select the name of the member who you believe will carry out your duty. Remember, that their duty preference tag must match yours or the system will not present them as being appropriate for the transfer.
If you get completely stuck on finding a substitute, you will need to contact the relevant Fleet Captain or the Bar Secretary. This may also be needed if swapping whole boat teams for bar and galley duties on Race Nights is necessary.
In any event, please don't just leave things! TSC relies totally on member contributions - as it has done throughout its history. We can almost always sort something out!
